The Meeting Cost Calculator is a free, browser-based tool that helps teams and managers visualize the true financial cost of meetings in real time. Simply enter the number of participants, set the average hourly rate, and start the timer to see a live running total of how much the meeting is costing your organization.

How to Use

  1. Enter the Number of Participants attending the meeting. This should include everyone present, whether in-person or remote.
  2. Set the Average Hourly Rate in USD. Use the fully loaded cost (salary + benefits + overhead) divided by working hours for the most accurate calculation.
  3. Optionally click a Quick Duration Preset (15 min, 30 min, 1 hour, etc.) to jump to a specific duration without running the timer.
  4. Click Start to begin the live timer. The running cost updates every second in real time.
  5. Click Pause to temporarily stop the timer, or Reset to clear the elapsed time and start over.
  6. Review the Cost Breakdown cards for cost per minute, cost per person, and burn rate per second. The comparison cards show equivalent everyday purchases.
  7. Click Save to History to store the meeting record in your browser's localStorage. Use the history table to review past meetings or delete individual records.
  8. Press Ctrl+Shift+C to copy a formatted cost summary to your clipboard. Press Ctrl+Enter to start or pause the timer.

Is my data safe when using this tool?

Yes. All calculations run entirely in your browser using JavaScript. No data is sent to any server. Meeting history is stored only in your browser's localStorage and never transmitted anywhere. You can clear it at any time.

How should I determine the hourly rate?

For the most accurate cost, use the fully loaded cost per employee, which includes salary, benefits, taxes, and overhead. A common rule of thumb is to multiply the annual salary by 1.3-1.5 and divide by annual working hours (typically 2,080). For a quick estimate, use the hourly wage or salary divided by working hours.

Does the timer work in background tabs?

Yes. The timer continues running even when you switch to another browser tab. Some browsers may throttle background timers slightly, but the count remains accurate because it is based on elapsed intervals rather than real-time clock checks.

Can I use this for recurring meeting cost analysis?

Yes. Save each meeting to your history, then review the table to see cumulative costs over time. You can calculate the annual cost of a recurring meeting by multiplying the per-meeting cost by the number of occurrences per year.

What currency is used?

The calculator displays costs in US Dollars (USD) by default. Since the calculation is simply (participants x hourly rate x hours), you can enter any currency's rate and interpret the output accordingly -- just ignore the dollar sign.

How many meetings can I save to history?

The tool stores up to 50 recent meetings in your browser's localStorage. Older entries are automatically removed when the limit is reached. You can also manually delete individual records or clear the entire history.

Can I use keyboard shortcuts?

Yes. Press Ctrl+Enter to start or pause the timer. Press Ctrl+Shift+C to copy the current cost summary to your clipboard.
